Job Title: Vehicle Operations Coordinator
Location: Dublin City South – On Green Luas Line.
Salary: DOE Bonus, Pension, Healthcare
Permanent | Full-time | Hybrid after 6 months training.
We are currently recruiting for a Vehicle Operations Coordinator to join a well-established organisation within the automotive sector.
This is a varied and hands-on role that combines vehicle administration, customer and supplier coordination, sales support and logistics. You will take responsibility for ensuring vehicles move efficiently through the business, from the point they are returned through to their onward sale and collection.
This is an excellent opportunity for someone who is highly organised, commercially aware and interested in the automotive industry, who enjoys managing multiple priorities and keeping things moving.
The Role
Working as part of a busy operations team, you will coordinate a high volume of vehicles and ensure that all information, documentation and logistics are managed accurately and efficiently.
Your responsibilities will include:
- Coordinating the movement and collection of vehicles with transport providers and other external partners.
- Managing vehicles as they come back into the business and ensuring they are prepared for their next stage.
- Liaising with internal teams to ensure vehicles are cleaned, prepared, photographed and presented to a high standard.
- Coordinating vehicle inspections and ensuring accurate information regarding vehicle condition is recorded.
- Preparing and maintaining vehicle information on internal and external systems.
- Supporting the sale of vehicles through established sales channels.
- Managing vehicle listings and ensuring all relevant information is accurate and available within agreed deadlines.
- Monitoring sales activity and ensuring successful buyers are kept updated throughout the process.
- Coordinating payments, paperwork, ownership documentation and vehicle collections.
- Liaising with customers, trade buyers, suppliers and internal teams to resolve queries and ensure a smooth process.
- Tracking vehicles through each stage of the process and ensuring nothing is missed.
- Working closely with the wider sales team to determine the most appropriate sales channel for individual vehicles.
- Monitoring vehicle performance and identifying opportunities to improve the return achieved on each vehicle.
- Managing any issues that arise following the sale of a vehicle and coordinating a timely resolution.
- Maintaining accurate records and ensuring all systems and processes are kept up to date.
- Planning ahead for upcoming vehicle volumes and ensuring everything is organised in advance of vehicles becoming available for sale.
About You
We are looking for someone who is organised, proactive and detail-focused, with the ability to manage a busy workload and keep multiple processes moving at the same time.
The ideal candidate will have:
- Previous experience within the automotive or motor industry, ideally.
- A genuine interest in cars and knowledge of different makes and models.
- Experience in an administrative, operations, sales support or coordination role.
- Excellent organisational and time-management skills.
- Strong attention to detail and a high level of accuracy.
- The ability to manage changing priorities and work effectively under pressure.
- Excellent communication and interpersonal skills.
- A confident and professional manner when dealing with customers, suppliers and colleagues.
- Strong computer and administration skills.
- A proactive approach, with the ability to identify what needs to be done and take ownership.
- Good commercial awareness and an interest in understanding how vehicles perform across different sales channels.
- The ability to plan ahead and anticipate potential issues.
- A positive, practical approach and the ability to work independently.
- A full clean driving licence.
